By accessing our website or engaging our services, you agree to be bound by the terms outlined in this document.

Please read these terms carefully before using our website or signing a service agreement with us. If you do not agree with any part of these terms, you should not use our website or engage our services. If you have questions about anything outlined here, you’re welcome to contact us directly before proceeding.

ASK Provider Services reserves the right to update these Terms and Conditions at any time. When changes are made, the updated version will be posted on this page with a revised effective date. Continued use of our website or services following any update constitutes your acceptance of the revised terms.

1. Definitions

To make these terms easier to understand, the following definitions apply throughout this document:

“ASK Provider Services,” “we,” “us,” or “our” refers to ASK Provider Services, a virtual healthcare administrative services company operating across all 50 states of the United States.

“Client” refers to any individual provider, medical practice, group practice, healthcare organization, or authorized representative that engages ASK Provider Services for professional services.

“Provider” refers to any licensed healthcare professional, including but not limited to physicians, nurse practitioners, physician assistants, dentists, therapists, and other credentialed medical professionals.

“Services” refers to the professional administrative services offered by ASK Provider Services, including but not limited to medical credentialing, insurance panel enrollment, provider enrollment, recredentialing, CAQH management, NPI registration, and Medicare and Medicaid enrollment.

“Website” refers to the ASK Provider Services website accessible at www.askproviderservices.com.

“Agreement” refers to any signed service contract or written agreement between ASK Provider Services and a Client.

“Third-Party Organizations” refers to insurance companies, government agencies, hospitals, credentialing bodies, and any other external entities involved in the credentialing or enrollment process.

2. Services Offered

ASK Provider Services provides healthcare administrative support services to providers and medical practices across the United States. Our current service offerings include the following:

2.1 Medical Credentialing

We manage the credentialing process on behalf of providers, including application preparation, document collection, submission to credentialing organizations, and follow-up until a decision is received.

2.2 Insurance Panel Enrollment

We assist providers in applying for participation in insurance networks, including identifying open panels, preparing applications, submitting required documentation, and following up with payors until enrollment is confirmed or a decision is communicated.

2.3 Provider Enrollment

We manage enrollment applications with commercial insurance companies and government programs on behalf of individual providers and group practices.

2.4 Recredentialing

We track credentialing expiration dates and manage the recredentialing process to ensure providers maintain active standing with hospitals, clinics, and insurance networks.

2.5 CAQH Management

We set up, maintain, and regularly update CAQH ProView profiles on behalf of providers, including handling quarterly attestation requirements.

2.6 NPI Registration

We manage Type 1 and Type 2 NPI registration through the NPPES system and assist with updates to existing NPI records.

2.7 Medicare and Medicaid Enrollment

We manage enrollment applications with Medicare through the PECOS system and with Medicaid programs across applicable states.

2.8 Billing and Coding (Coming Soon)

ASK Provider Services intends to offer billing and coding support services in the future. Details regarding this service will be made available when it becomes active.

2.9 Service Limitations

ASK Provider Services is a healthcare administrative services company. We are not a law firm and do not provide legal advice. We are not a medical practice management company and do not provide clinical guidance. Nothing in our services constitutes legal, medical, financial, or regulatory compliance advice. Clients should consult qualified legal or compliance professionals for matters that fall outside of administrative support.

3. Client Responsibilities

Clients play an important role in the success of the services we provide. To ensure the best possible outcome, clients agree to the following responsibilities:

3.1 Accurate Information

Clients are responsible for providing accurate, complete, and up-to-date information when requested. This includes personal and professional details, license numbers, employment history, malpractice records, certifications, and any other documentation required for credentialing or enrollment purposes. ASK Provider Services is not responsible for delays, rejections, or adverse outcomes resulting from inaccurate or incomplete information provided by the client.

3.2 Timely Document Submission

Many credentialing and enrollment processes have strict timelines. Clients are responsible for providing the requested documents in a timely manner. Delays caused by a client’s failure to submit required documents may extend the overall timeline and are not the responsibility of ASK Provider Services.

3.3 Maintaining Current Licenses and Certifications

Clients are responsible for maintaining active and valid licenses, certifications, malpractice insurance, and any other credentials required for their specialty and state. ASK Provider Services cannot submit applications on behalf of a provider whose licenses or certifications have lapsed.

3.4 Reviewing Submitted Materials

Clients may be asked to review applications or documents before submission. It is the client’s responsibility to review these materials carefully and notify ASK Provider Services of any errors or changes before submission. Once materials are submitted to a third-party organization, corrections may require a formal amendment process.

3.5 Communicating Changes

Clients must promptly notify ASK Provider Services of any changes to their practice information, credentials, malpractice coverage, or other relevant details that may affect open applications or ongoing service agreements.

3.6 Authorization

By engaging ASK Provider Services, clients authorize us to act on their behalf in matters directly related to the services outlined in their service agreement. This includes submitting applications, communicating with payors and credentialing organizations, and providing information required to process those applications.

4. Timelines and Outcomes

4.1 No Guarantee of Specific Timelines

Credentialing, enrollment, and licensing processes are managed by third-party organizations including insurance companies, government agencies, hospitals, and credentialing bodies. These organizations operate on their own schedules and timelines, which are outside the control of ASK Provider Services. We do not guarantee that any application will be processed, approved, or completed within a specific timeframe.

4.2 No Guarantee of Approval

While ASK Provider Services works diligently to prepare and submit complete, accurate applications, approval decisions are made exclusively by third-party organizations. We do not guarantee that any application will be approved. Factors such as a provider’s history, the requirements of a specific organization, or a payor’s current panel status may affect the outcome of an application regardless of how thoroughly it was prepared.

4.3 Follow-Up Commitment

ASK Provider Services commits to following up consistently on all submitted applications until a resolution is reached. We will communicate with clients on a weekly or biweekly basis, depending on client preference, and will notify clients promptly of any significant developments, requests for additional information, or decisions received from third-party organizations.

4.4 Delays Outside Our Control

Processing delays caused by third-party organizations, government agencies, payor backlogs, or incomplete information on the part of the client are not the responsibility of ASK Provider Services. We will communicate any known delays to the client and continue to follow up on their behalf.

5. Fees and Payment

5.1 Service Fees

Fees for ASK Provider Services are outlined in the service agreement signed by the client prior to the commencement of services. Fees vary depending on the type and scope of services requested.

5.2 Payment Terms

Payment terms are established in the individual service agreement. Unless otherwise specified in writing, fees are due in accordance with the payment schedule outlined in that agreement. ASK Provider Services reserves the right to pause or suspend services on accounts that are past due.

5.3 Refund Policy

Due to the nature of administrative services and the time invested in preparing and submitting applications, fees paid to ASK Provider Services are generally non-refundable once work has commenced. Specific refund terms, if any, will be outlined in the individual service agreement. Refunds are not issued based on the outcome of applications, as approval decisions are made by third-party organizations outside of our control.

5.4 Additional Fees

Some third-party organizations charge their own fees for credentialing, enrollment, or licensing applications. These fees are separate from ASK Provider Services fees and are the sole responsibility of the client. We will notify clients of any known third-party fees before submission wherever possible.

5.5 Changes to Pricing

ASK Provider Services reserves the right to adjust its service fees. Any changes to pricing will be communicated to existing clients in advance and will not affect the fees outlined in a currently active service agreement without written consent from the client.

6. Confidentiality and Data Handling

6.1 Client Information

ASK Provider Services collects personal and professional information from clients for the sole purpose of providing the services outlined in the service agreement. This includes but is not limited to names, license numbers, tax identification numbers, Social Security numbers, malpractice records, and other sensitive professional information.

6.2 How We Use Your Information

Client information is used exclusively to prepare and submit credentialing, enrollment, and licensing applications on the client’s behalf. We do not sell, share, or disclose client information to any third party except as required to carry out the services requested or as required by law.

6.3 Data Security

ASK Provider Services takes reasonable precautions to protect client information from unauthorized access, disclosure, or misuse. All data is handled with care and stored securely. However, no electronic system is entirely immune to security risks, and ASK Provider Services cannot guarantee absolute security of information transmitted over the internet.

6.4 Retention of Records

Client records are retained for a reasonable period following the conclusion of the service agreement, after which they are securely disposed of. Clients may request access to their records during the active service period by contacting us directly.

6.5 HIPAA Considerations

To the extent that our services involve the handling of protected health information as defined under the Health Insurance Portability and Accountability Act (HIPAA), ASK Provider Services commits to handling such information in accordance with applicable HIPAA requirements. Clients may request a Business Associate Agreement (BAA) if required for their organization.

7. Intellectual Property

7.1 Website Content

All content published on the ASK Provider Services website, including text, graphics, logos, images, and page layouts, is the property of ASK Provider Services and is protected by applicable intellectual property laws. Unauthorized reproduction, distribution, or use of any website content without written permission from ASK Provider Services is prohibited.

7.2 Client Materials

Documents, records, and information provided by clients remain the property of the client. ASK Provider Services does not claim ownership over any materials submitted by clients for the purpose of credentialing or enrollment.

7.3 Service Materials

Any templates, checklists, processes, or internal documents developed by ASK Provider Services in the course of providing services remain the intellectual property of ASK Provider Services and may not be copied, shared, or reproduced by clients without written consent.

8. Limitation of Liability

8.1 Scope of Liability

ASK Provider Services provides administrative support services and acts on behalf of clients in submitting applications to third-party organizations. We are not responsible for decisions made by those organizations, including approvals, denials, delays, or any consequences resulting from those decisions.

8.2 No Liability for Third-Party Actions

We are not liable for the actions, inactions, policies, or decisions of insurance companies, government agencies, credentialing bodies, hospitals, or any other third-party organization involved in the credentialing or enrollment process.

8.3 Maximum Liability

To the fullest extent permitted by applicable law, the total liability of ASK Provider Services to any client for any claim arising out of or related to our services shall not exceed the total fees paid by that client for the specific service giving rise to the claim.

8.4 Consequential Damages

ASK Provider Services is not liable for any indirect, incidental, consequential, or punitive damages arising from the use of our services or website, including but not limited to loss of income, loss of patients, or business interruption resulting from credentialing or enrollment delays.

9. Termination of Services

9.1 Termination by Client

Clients may terminate their service agreement with ASK Provider Services by providing written notice in accordance with the terms outlined in their individual service agreement. Fees paid for work already completed are non-refundable upon termination.

9.2 Termination by ASK Provider Services

ASK Provider Services reserves the right to terminate a service agreement if a client provides false or misleading information, fails to fulfill their responsibilities as outlined in these terms or the service agreement, engages in conduct that is abusive or threatening toward our team, or fails to make payment in accordance with the agreed payment schedule.

9.3 Effect of Termination

Upon termination, ASK Provider Services will cease all active work on behalf of the client. Any applications that have already been submitted will remain in process with the applicable third-party organizations, but ASK Provider Services will no longer follow up or manage those applications unless a new agreement is established.

9.4 Transition Assistance

Upon termination, ASK Provider Services will provide the client with a summary of all active applications and their last known status, along with copies of any documents we hold on the client’s behalf, to support a smooth transition.

10. Website Use

10.1 Acceptable Use

You may use the ASK Provider Services website for lawful purposes only. You agree not to use the website in any way that violates applicable laws, infringes on the rights of others, or interferes with the operation of the website.

10.2 No Unauthorized Access

You may not attempt to gain unauthorized access to any part of the website, its servers, or any system connected to the website. Any attempt to do so may result in legal action.

10.3 Third-Party Links

The ASK Provider Services website may contain links to third-party websites for informational purposes. We do not endorse, control, or take responsibility for the content or practices of any third-party websites. Accessing those links is done at your own risk.

10.4 Website Availability

We make reasonable efforts to keep the website accessible and functional at all times. However, we do not guarantee uninterrupted access and are not liable for any inconvenience or loss caused by website downtime, technical issues, or scheduled maintenance.

11. Governing Law and Disputes

11.1 Governing Law

These Terms and Conditions and any disputes arising from them are governed by the laws of the United States and the state in which ASK Provider Services is registered, without regard to conflict of law principles.

11.2 Dispute Resolution

In the event of a dispute between ASK Provider Services and a client, both parties agree to first attempt to resolve the matter through direct communication. If a resolution cannot be reached informally, the parties agree to pursue mediation before initiating any formal legal proceedings.

11.3 Waiver of Class Action

To the fullest extent permitted by law, clients agree to resolve any disputes with ASK Provider Services on an individual basis and waive any right to participate in a class action lawsuit or class-wide arbitration against ASK Provider Services.

12. General Provisions

12.1 Entire Agreement

These Terms and Conditions, together with any signed service agreement, constitute the entire agreement between ASK Provider Services and the client with respect to the subject matter herein and supersede all prior discussions, representations, or agreements.

12.2 Severability

If any provision of these Terms and Conditions is found to be unenforceable or invalid under applicable law, that provision will be modified to the minimum extent necessary to make it enforceable, and all remaining provisions will continue in full force and effect.

12.3 No Waiver

The failure of ASK Provider Services to enforce any provision of these terms at any time does not constitute a waiver of our right to enforce that provision in the future.

12.4 Assignment

Clients may not assign or transfer their rights or obligations under a service agreement with ASK Provider Services without our prior written consent. ASK Provider Services may assign its rights and obligations in connection with a merger, acquisition, or sale of assets.

12.5 Force Majeure

ASK Provider Services is not liable for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond our reasonable control, including but not limited to natural disasters, government actions, system outages, or public health emergencies.
